Overview

GreenState Credit Union is one of the largest credit unions in the Midwest. As the organization grew, employee onboarding became a bottleneck — requiring manual coordination across HR, IT, and security for every single hire.

The challenge

Onboarding at GreenState had become a drag on growth — and a new hire’s first day was the most visible symptom. HR completed their portion of the process and emailed IT. IT received the request, manually cross-referenced the HRIS record, and began provisioning accounts — a process that could take days depending on the queue. Security ran their own separate checklist, using their own system, on their own timeline. No department had visibility into what the others were doing. A manager wanting to know if a new hire’s setup was complete had to call HR, email IT, and follow up with security individually. The answer was usually “almost.” The new hire’s first morning often meant waiting at a desk with no access to the tools they needed.

  • Manual onboarding processes. Every new hire required hand-coordinated steps across three departments. HR, IT, and security each worked independently using their own systems and timelines
  • Disconnected systems. Employee data entered in the HRIS didn’t flow to IT provisioning or security systems. The same information was entered multiple times in multiple places
  • Lack of visibility. Managers had no way to check onboarding status without calling HR, emailing IT, and checking with security individually. New hires showed up to incomplete setups
  • Compliance and access control risks. Without a standardized process, access provisioning was inconsistent. Some employees received too much access, others too little. Audit readiness was a concern
  • Couldn’t scale. More hires meant more manual work. There was no way to increase onboarding volume without increasing HR and IT headcount

The solution

Kinetic deployed a unified onboarding platform that orchestrates the full employee lifecycle:

  • Self-service onboarding portal. A single onboarding action triggers parallel workflows across HR, IT, and security. No separate requests, no manual handoffs
  • Automated role-based provisioning. System access, equipment, credentials, and permissions are provisioned automatically based on role and department. Every new hire gets exactly what they need on day one
  • API integrations with core systems. Kinetic connects to GreenState’s HRIS, IT management tools, and security systems — pulling and pushing data between them without manual intervention
  • Centralized workflow management. HR has full visibility across all active onboarding workflows. Bottlenecks are identified and resolved immediately, not discovered after a new hire’s first frustrating week

Results

  • 85% reduction in manual effort. The hours HR, IT, and security staff spent on coordination for each new hire have been nearly eliminated
  • Immediate system access for new hires. Employees have accounts, equipment, and building access ready on day one. No more incomplete setups
  • Improved accuracy and compliance. Role-based templates enforce consistent access provisioning. Every hire gets the right access — no more, no less
  • Reduced IT dependency. HR can initiate and monitor onboarding without filing IT tickets or chasing updates

Because Kinetic orchestrates workflows across HR, IT, and compliance systems without replacing any of them, GreenState eliminated 85% of manual onboarding work and achieved full provisioning on day one.

Why Kinetic

GreenState’s HRIS, IT management tools, and security systems each served a legitimate purpose — and none of them were candidates for replacement. These systems held years of employee data, were integrated into financial and compliance reporting, and were maintained by teams with deep institutional knowledge. Ripping them out in favor of a single unified platform would have meant months of migration work, significant compliance risk during transition, and the loss of functionality that individual departments depended on. What GreenState needed was not a new system of record — it needed the work that crossed those systems to be orchestrated automatically. Kinetic provided that coordination layer, connecting what already existed and eliminating the manual handoffs between them, without requiring GreenState to rebuild the infrastructure it had already built.
